Request for Proposals: Sound Production for 2026 City Events

The City of Plattsburgh is seeking qualified sound production vendors to provide professional audio, and where applicable screen and projection services, for City-sponsored events in 2026. Vendors are not required to submit proposals for all listed events to be considered; however, preference may be given to vendors able to support at least three events. The City reserves the right to award contracts for individual events or as a full package.

Please include the following information in your proposal:

1. Credentials/Experience (years of sound production) of all production team members. Minimum of two years of experience /education preferred. Company name, address, contact information.

2. Cost for sound production per event.  Please indicate cost of sound production for each individual event:

   1. Parks Come Alive #1
   2. Parks Come Alive #2
   3. Fourth of July Celebration
   4. Mayor’s Cup Concert at the City Beach
   5. Movie Night #1
   6. Movie Night #2
   7. Movie Night #3
   8. Miracle on Margaret Street (Holiday Parade and Tree Lighting)

3. Selection Criteria: Proposals will be evaluated based on total cost and clarity of pricing structure, equipment quality and availability, vendor experience and reliability, ability to meet setup and removal deadlines, and responsiveness and communication.

4. Additional Information: The City of Plattsburgh reserves the right to reject any or all proposals. The City may award contracts for individual events or as a full package. Vendors may be encouraged to visit event sites upon request to assess logistics and power needs.

Below is a list of performances where sound production is needed.

1. Parks Come Alive #1: Thursday June 11, from 4:30PM-7:30PM at Peter Blummette Park. Sound provided for a small ensemble band to be projected into the park. Sound will run off of a generator.
2. Parks Come Alive #2: Thursday August 13. from 4:30-7:30PM at Melissa Penfield Park. Sound provided for a small ensemble band to be projected into the park. Sound will run off of a generator.
3. Fourth of July Celebration: Saturday July 4th from approx. 10AM to 9:30PM at City Hall. Sound provided for parade announcements from 12:30-2:30 and for two nationally touring musical performances from approx 6:30-9:30PM.
4. Mayor’s Cup Concert: Saturday July 11th at Plattsburgh City Beach Stage. Sound provided for the band to be projected onto the Beach Lawn for professional music performance from approx 5:30PM-8:30PM.
5. Movie Night #1: June 6th from 7-10PM at the Plattsburgh City Beach Lawn. Sound and screen provided for the movie to be projected into the lawn.  
6. Movie Night #2: August 7th from 7-10PM at the MacDonough Monument Bandshell. Sound and screen provided for the movie to be projected into the park. 
7. Movie Night #3: October 24th from 7-10PM at the Melissa Penfield Park Football field. Sound and screen provided for the movie to be projected into the park. Sound will run off a generator. 
8. Miracle on Margaret Street: Saturday December 5 from 5:00PM-8:00PM. Sound for MC on stage in downtown Plattsburgh. Sound to project as far as possible to allow parade-goers to hear announcements and sound for performance following the parade. Sound will run off of a generator.  

 Submission Instructions

Proposals must be submitted via email or delivered in a sealed envelope clearly marked:
